All students who attend RIC have mailboxes on Microsoft 365 and this is the official communication tool of the college. 

Student and Alumni Email Policy

Your Microsoft 365 Username is your RIC SSO Account Username

For example, the email address for a RIC student named Joe Doe with RIC student ID number 0121234 would be jdoe_1234@email.ric.edu. If you cannot remember your password, follow these directions to reset your password.

RIC Student and Alumni Email Information

All undergraduate and graduate students are issued a RIC email account upon enrollment at the college. This account is the official means for college email communication with students and should be monitored on a regular basis.

RIC SSO Accounts and email access for all undergraduate students (degree and non-degree) are maintained for one year for students who are no longer enrolled at the college to avoid interruption of services for those who do not attend for up to one year. Undergraduate students who re-enroll after a year will be re-issued a RIC SSO Account with the same account username, but Microsoft 365 content from the prior account will not be retained. 

RIC SSO Accounts and email access for all degree-seeking graduate students are maintained for six years to avoid interruption of services for those not continuously enrolled during their program of study. Degree graduate students who re-enroll after six years will be re-issued a RIC account with the same account username, but Microsoft 365 content from the prior account will not have been retained.

RIC SSO Accounts and email access for all non-degree graduate students (those enrolled in graduate courses but not in a program of study) are maintained for one year for students who are no longer enrolled at the college to avoid interruption of services for those who do not take courses for up to one year. Non-degree graduate students who re-enroll after a year will be re-issued a RIC account with the same account username, but Microsoft content from the prior account will not have been retained. 

Students who receive an undergraduate or graduate degree from the college will, as alumni, be allowed to retain their RIC SSO Accounts and email access indefinitely, with the provision that once a year they confirm with the college their desire to keep their account. If an alumnus has a RIC email account, the college will use that account as the default address for official email communications from Alumni and College Relations unless the alumnus informs the college otherwise.

Alumni email does not provide access to other Microsoft 365 applications and services, such as cloud storage.

Alumni receiving their first degree prior to 2011 will have the opportunity to obtain a RIC account upon request.

Microsoft 365 Services

Microsoft 365 is a modern collaboration platform that provides a full-featured email system with web access, integrated calendaring, support for mobile device access, and 50 gigabytes of email storage and 1 terabyte of document storage per account.

Functions available through Microsoft 365

  • Convenient web and desktop access to your email and integrated calendar. Full-featured web interface for accessing email and calendar (Outlook Web App), as well as email and integrated calendar compatibility with desktop email clients such as Microsoft Outlook and Apple Mail.
  • Access to your email, calendar entries, and contacts from your mobile device.
  • Built-in anti-spam message filtering. Integrated anti-spam tools for smoother control of email filtering and identification.
  • OneDrive for Business, an online document storage and sharing tool that faculty, staff, and students can access through the OneDrive web site or application on a Windows PC, Mac, or mobile device.

To begin using your Microsoft 365 account and services, log in to the Microsoft 365 web site using your RIC SSO Account.

Access to Microsoft 365 services requires an active RIC SSO Account.  View additional information about RIC SSO accounts.

Information Technology Services recommends the use of the Microsoft Outlook mobile app for the best Microsoft 365 email experience.  This application is free to download from the Apple App Store or Google Play Store.  Once installed, login with your RIC SSO Account to access your mailbox, calendar, and contacts in the Outlook mobile app.

Google Android: 

Instructions vary from each Google Android vendor/manufacturer.  Follow your device manufacturers instructions for configuring either “Microsoft 365” or “Microsoft Exchange” using the built-in application on the Google Android device. 

When a faculty or staff member leaves the college, what happens to their Microsoft 365 account?

RIC SSO Account access and Microsoft 365 e-mail and services are provided to active employees.  Upon separation or leave from the college, all access is terminated upon the employee leave date.

Retiring RIC employees retain access to e-mail only for one year after retirement.  Other Microsoft 365 services, such as access to Office applications or OneDrive storage, are not available.

Faculty awarded emeritus status retain access to Microsoft 365 e-mail indefinitely. Other Microsoft 365 services, such as access to Office applications or OneDrive storage, are not available.

Adjunct faculty who do not teach at the college for three consecutive terms will lose access to their RIC SSO Account and Microsoft 365 services.  Upon re-hire, access to the account and services will be restored.

When students graduate, what happens to their Microsoft 365 account?

Alumni retain their Microsoft 365 email account (i.e., email) indefinitely, as long as it’s accessed at least once per year.

When students graduate, they will lose the OneDrive for Business and Office apps. However, they will have access to those enhanced license items for three terms (equals 12 months) after the last semester in which they were registered.

As soon as a student graduates (complete his/her program) and is not registered for a course in the current semester, they will no longer be able to download Microsoft Office applications for Windows and Macintosh computers.

Non-graduates lose access to all RIC-licensed products, including Exchange/email, OneDrive for Business after three consecutive terms (12 months) without being enrolled in a course.  Access to the Microsoft Office applications for Windows and Macintosh computers occurs as soon as a student is no longer actively enrolled in Spring or Fall classes, or is officially withdrawn from the college.

Students dismissed from the college immediately lose access to their RIC SSO Account and all Microsoft 365 services.
